This Privacy Policy explains how FieldCast LLC ("FieldCast," "we," "us," or "our") collects, uses, and shares information in connection with the FieldCast websites, applications, and related services (collectively, the "Service").
FieldCast provides operational coordination tools for fire departments and other organizations. Depending on how you use the Service, we may act as a service provider or processor for an organization that controls certain information about you. If you have questions about an organization's use of your information, please contact that organization directly.
By using the Service, you agree to the practices described in this Privacy Policy.
1. Information We Collect
We collect information you provide directly, information generated through your use of the Service, and information from third parties. The categories of information we may collect include:
- Account and profile information, such as your name, email address, phone number (optional), password, profile photo, role, and unit or measurement preferences;
- Organization information, such as the organizations (for example, fire departments) you belong to, your memberships, roles, and permissions;
- Operational content, such as deployments, incidents, teams, tasks, and chat and messaging content you create or exchange through the Service;
- Precise location information and location history, including device location shared while using tracking features;
- Observations and media, including photos and other files you capture or upload, along with associated metadata such as geolocation, timestamps, and device information;
- Weather and mapping requests associated with locations you view or use in the Service;
- Device and usage information, such as IP address, device and browser type, app version, log data, and interactions with the Service; and
- Communications you send to us, such as support requests sent to support@fieldcast360.com.
2. How We Use Information
We use the information we collect to:
- Provide, operate, maintain, and secure the Service;
- Authenticate users and manage accounts, organizations, roles, and permissions;
- Enable core features such as deployments, messaging, task management, location tracking and history, mapping, weather, and observations;
- Communicate with you, including sending service-related and administrative messages;
- Monitor, troubleshoot, analyze, and improve the Service;
- Detect, prevent, and respond to security incidents, fraud, and misuse; and
- Comply with legal obligations and enforce our Terms of Service.
3. Location Information
Certain features of the Service collect precise geolocation and location history from your device when you enable them. Location data is used to support features such as personnel tracking, mapping, observations, and weather at a given location.
You can control location sharing through your device or browser permissions. Disabling location access may limit or prevent certain features from functioning. Because location data supports operational coordination, an organization may configure how location features are used within that organization.
4. Cookies and Analytics
Our websites and applications may use cookies and similar technologies for authentication, preferences, and analytics. We use analytics tools, including Vercel Analytics, to understand usage and improve performance. These tools may collect information such as pages viewed, general location derived from IP address, and device characteristics.
You can manage cookies through your browser settings. Disabling some cookies may affect the functionality of the Service.
5. How We Share Information
We do not sell your personal information. We share information in the following circumstances:
- Within your organization: Content and data you submit may be visible to other authorized members and administrators of your organization according to configured roles and permissions;
- Service providers: We share information with vendors that help us operate the Service, including hosting and analytics (such as Vercel), email delivery (such as Postmark), mapping and geospatial services (such as Google Maps and Esri ArcGIS), and weather data (such as OpenWeather). If we introduce paid features, we may also use payment processors to handle transactions;
- Legal and safety: We may disclose information if required by law or legal process, or if we believe in good faith that disclosure is necessary to protect the rights, property, or safety of FieldCast, our users, or the public; and
- Business transfers: We may share or transfer information in connection with a merger, acquisition, financing, or sale of all or part of our business.
Third-party services that we integrate with process information under their own privacy policies and terms.
6. Data Retention
We retain information for as long as necessary to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. Retention periods vary depending on the type of information and the purpose for which it is processed. Because the Service is currently offered on a free and/or beta basis, data retention practices may change as the Service develops.
Organizations may control the retention or deletion of certain content within their accounts. When information is no longer needed, we take reasonable steps to delete or de-identify it.
7. Security
We use reasonable administrative, technical, and organizational measures designed to protect information, including encryption in transit for data transmitted to the Service and access controls based on roles and permissions. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your Choices and Rights
Depending on your location, you may have certain rights regarding your personal information, such as the right to access, correct, update, or delete it, or to object to or restrict certain processing. You can update much of your account and profile information directly within the Service, and you can contact us at support@fieldcast360.com to make a request.
Where information is controlled by an organization, we may refer your request to that organization and assist it in responding. You may also control certain data collection through your device and browser settings, including location permissions.
9. California Privacy Rights
If you are a California resident, you may have rights under the California Consumer Privacy Act, as amended by the California Privacy Rights Act ("CCPA/CPRA"), including the right to know what personal information we collect and how we use it, the right to request deletion or correction, and the right not to be discriminated against for exercising your rights. 10. Children's Privacy
The Service is intended for use by adults in a professional or operational context and is not directed to children. We do not knowingly collect personal information from children under 13 (or under 16 where applicable). If you believe a child has provided us personal information, please contact us so we can take appropriate action.
11. International Users
FieldCast is based in the United States, and the Service is intended for use in the United States. If you access the Service from outside the United States, you understand that your information may be processed and stored in the United States, where data protection laws may differ from those in your jurisdiction.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Effective" date above and, where appropriate, provide additional notice. Your continued use of the Service after the updated Privacy Policy becomes effective constitutes your acceptance of the changes.
